The Opportunity
The Executive Assistant (Office & Facilities Support) is responsible for delivering high-quality executive support that enables senior leaders to operate effectively, focus on strategic priorities, and deliver against business commitments. This role also provides supplementary support across office and facilities operations to ensure continuity, professionalism, and a positive workplace experience during periods of increased activity or planned coverage.

Key Responsibilities
- Provide end-to-end executive support including complex inbox and diary management, meeting coordination, travel arrangements, and expenses.
- Partner with senior leaders to anticipate priorities, manage competing demands, and ensure high-quality preparation and follow-up.
- Coordinate stakeholder requests and deliverables across internal and external parties to enable timely execution.
- Prepare agendas, briefing packs, presentations, and executive communications as required.
- Support office and facilities operations including room management, vendor liaison, access cards, desk setups, supplies, and maintenance requests.
- Provide reception/front-of-house coverage during planned leave or peak activity, ensuring a professional and welcoming experience.
Required Qualifications
- Proven experience as an Executive Assistant in a corporate environment, supporting senior leaders.
- Strong organisational and administrative skills with the ability to manage competing priorities and high-volume workload to deadlines.
- High level of professionalism, discretion, and attention to detail when handling confidential information.
- Proficiency with Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams) and comfort using AI-enabled productivity tools.
Preferred Qualifications
- 3+ years experience providing executive support within a complex, matrixed organisation.
- Experience supporting office operations, facilities coordination, or reception/front-of-house functions.
- Relevant administrative, business, or office management qualification (preferred, not mandatory).
