Key Responsibilities
- Provide day-to-day support to the General Manager, including calendar management, meeting coordination across local and regional stakeholders, travel arrangements, and expense administration
- Act as the central coordination point for meetings, managing logistics end-to-end to ensure smooth and efficient execution
- Take ownership of meeting logistics, including room preparation, ensuring a professional setup, and capturing clear minutes and follow-ups for key business meetings
- Ensure the office operates efficiently by managing meeting room supplies and coordinating orders with vendors
- Welcome and host visitors, delivering a professional and seamless experience for both internal and external stakeholders
- Liaise with internal teams and external partners to support the smooth coordination of daily activities and requests
- Support the preparation and coordination of internal meetings, leadership sessions, and small office events as required
- Maintain a high standard of organization across documents, meeting materials, and shared information
- Serve as a reliable point of contact within the office, helping to maintain structure, coordination, and timely follow-up
- Provides flexible administrative and coordination support across a range of activities and initiatives as required.
Required Qualifications
- Degree or diploma in Business Administration, Secretarial Studies, or a related field will be considered an advantage
- 3–5 years’ experience in a similar Office Administration / Personal Assistant / Executive Assistant role
- Strong organizational and time management skills, with the ability to manage competing priorities and tight deadlines
- Excellent interpersonal and communication skills, with the ability to interact effectively with senior leadership, colleagues, and external stakeholders
- Ability to work independently, exercise sound judgment, and proactively anticipate needs
- Strong attention to detail and commitment to delivering high-quality and accurate work
- Ability to adapt quickly in a fast-paced environment and respond effectively to changing priorities
- High level of professionalism, discretion, and reliability when handling sensitive information
- Fluency in Greek and English, both written and verbal
