This Executive Assistant position is responsible for providing a high level of administrative support to the VP, Underwriting and assistance to other leadership roles within the organization. This position requires excellent organizational skills, attention to detail, flexibility and the ability to prioritize workload and multi-task in an environment that requires frequent change. This individual must be able to work independently with minimal supervision and demonstrate excellent interpersonal and communication skills, both verbal and written. The individual is expected to maintain confidentiality and exhibit a high level of discretion and professionalism.
Key Responsibilities:
- Manage Microsoft Outlook calendar, inbox, and address books
- Schedule and coordinate meetings / conference calls; prepare related materials / correspondence; print materials
- Manage travel, calendar management, expense reports, catering, meeting/town hall logistics, org charts, distribution list
- Respond to inquiries for information and provide follow-up on requests to ensure resolution
- Maintain and manage office vendor relationships
- Participate in the planning and logistics for office outings and events; Coordinate various on-site meetings with internal and external parties.
- Arrange and coordinate complex travel itineraries
- Assist in the preparation and/or coordination of presentations, reports and spreadsheets by preparing and editing text, slides and other materials
- Assist with supply ordering, moves, facilities request, security request, etc.
- Process expense reports and vendor invoices for reimbursement/payments and reconciliation
Essential Business Experience and Technical Skills:
- 5-7+ years of relevant experience
- Extensive knowledge of PC equipment, software programs
- Strong organizational and interpersonal skills
- Highly proficient/fluency in Microsoft Office programs
- Highly professional in presence and communication skills (oral and written)
- High School diploma required / Associates or Bachelor Degree preferred
