The Executive Administrative Assistant is responsible for providing administrative support to the Chief Counsel, Litigation, as well as other attorneys across Government and Legal Affairs in the New York Office. Guided by our purpose – always with you building a more confident future – and our New Frontier strategy focused on stronger growth, attractive returns, and all-weather performance, this is an exciting opportunity to work closely with senior leadership, manage complex scheduling and documentation, and coordinate critical projects that ensure the smooth operation of our litigation department. This position is key to the efficiency and effectiveness of the litigation department and requires a proactive professional who thrives in a fast-paced, dynamic environment.
- Lead day-to-day administrative support for senior litigation leaders and attorneys.
- Produce high-quality documents, presentations, reports, charts, memos, and correspondence with a high level of accuracy, confidentiality, and attention to detail.
- Manage complex calendar schedules, including prioritizing meetings, coordinating with internal and external stakeholders, and aligning schedules with business priorities.
- Manage multiple assignments simultaneously, including workload prioritization, expense reporting, travel arrangements, matter management, and using e-billing tools.
- Built strong working relationships across all organizational levels, including executive assistants to senior leaders, while maintaining professionalism.
- Coordinate special projects, department initiatives, meetings, and events, using judgment to make decisions within the scope of responsibilities.
- Minimum of 3-5 years of administrative experience supporting multiple leaders, with proven ability to manage time, priorities, and confidential information independently.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe Acrobat, SharePoint, and related legal or document management tools, with the capability to learn new systems quickly.
- Strong interpersonal, written, and verbal communication skills, plus high attention to detail and the ability to quickly learn new systems.
- Demonstrated discretion, sound judgment, intuition, and the ability to anticipate the needs of legal professionals in a fast-paced environment.
- High School diploma required
- Suggested 5+ years of experience delivering high-level executive support to senior leaders.
- Experience interacting with executives at all levels
- Demonstrates a proactive, solution-focused work style with strong prioritization, organization, proofreading skills, and the ability to anticipate leader needs while handling multiple deadlines and shifting priorities.
- Take responsibility for ad hoc initiatives and special projects, using good judgment and independent problem-solving.
The expected salary range for this position is $62,300 - $83,100. This role may also be eligible for annual short-term incentive compensation and stock-based long-term incentives. All incentives and benefits are subject to the applicable plan terms.
